Things to Think About in ATS Selection

Right from managing and tracking a plethora of applications to filtering and finding the right candidates and finally communicating with candidates, the recruiting process can be extremely daunting. In such cases, an ineffective process can result in losing out on skilled and qualified resources as almost 60% of applicants tend to reject job offers due to bad candidate experiences.

Hence, more companies are choosing to invest in ATS solutions. These solutions serve various applications for different types of businesses.

First Things First: How's Your Process

The best available systems can only work if you have a well thought-out process. Think of it like this: you're a global supplier of overnight delivery. Your delivery times are suffering, and clients are getting upset. So, you decide to invest in a whole new fleet of vehicles. They're amazing machines, and not cheap.

But, your clients are still unhappy, packages aren't getting where they need despite your investment. Digging in, it turns out buying a whole new fleet just made things worse - your drivers lacked directions on how to deliver, their maps were woefully out-of-date (if they even had any), and often there were multiple drivers trying to deliver the same package. To make it worse, a key part of your companies process is to be green - so you only have electrical charging stations available, and all of the trucks require diesel.

You forgot to look at your processes before you bought your system. Which is one of the most common problems faced by corporate TA departments - systems that aren't aligned with hiring needs can actually make things worse once they're implemented. Nail your process maps, understand how things actually work in your organization. Reduce or eliminate inefficiencies and redundancies. From there, make a list of weaknesses - you'll start seeing spots where tech can help and where it's best used. That will help you develop your requirements list for your new ATS (ie, make sure it doesn't require diesel...)

ATS Applications for Various Business Sizes

An applicant tracking system is more than just another software; if used correctly, it acts as a strategic business partner. So ideally, companies should choose an ATS solution and tools that match their business size. This is usually divided into three tiers:

For SMBs

It’s usually recommended for SMBs to factor in scalability as one of the top considerations while making any decision. The ATS that they choose should be based on the data storage that’s available, and the cost of added job posting and growth tools.

If you’re planning to scale your organization, you should evaluate your goals and projections, based on which you can make a decision if you should continue with your current applicant tracking system or if it’s time to invest in a premium option.

For Enterprises

Recruiters need to be able to exchange candidate data and get feedback from hiring managers so they can hire the best applicant for the job. An applicant tracking system that integrates with their current HR or ERP systems is essential for large enterprises. It's important for large organizations with outdated software to look at integrated suites from a single vendor or to make sure that any new ATS is fully compatible with their old systems. And, be careful with what the sales team promises when it comes to integrations. You'll want to talk to current customers who are on the same HR system as you are to better understand what happens when the rubber hits the road on how well the systems communicate.

For Agencies

In most cases, a staffing agency requires similar features and benefits as an enterprise. However, these agencies tend to require additional features, including customer relationship management as well as candidate relationship management, the ability to support multiple clients, etc. In addition, they will have different reporting needs and requirements. As a result, they should consider investing in a vendor-friendly system that is better able to cater to these demands.
